These Terms and Conditions (T&C or Terms) constitute a legally binding agreement between you (Client, Customer, You, or Your) and Trebound for accessing or using Trebound's website (www.trebound.com), mobile applications, or other platforms (collectively, the Platform), and for booking any team building activities, corporate outings, stays, experiences, or related services through Trebound.

By using the Platform, creating an account, or making any Booking, You acknowledge that You have read, understood, and agreed to be bound by these Terms and Conditions. If You do not agree with these Terms, please discontinue use of the Platform and services immediately.

DEFINITIONS

Client, Customer, You, or Your

Any individual, company, or organization visiting, accessing, registering on, or making a Booking through the Platform.

Trebound, We, Us, or Our

Refers to Trebound, India's premium corporate team building company operating through www.trebound.com, including all its affiliates, employees, agents, and representatives.

Booking

Any confirmed purchase or reservation for team building activities, corporate outings, stays, experiences, or complete packages comprising multiple services such as accommodation, transportation, activities, and related logistics.

Service

All offerings provided by Trebound including but not limited to team building activities, corporate retreats, experiential learning programs, stays at partner resorts, transportation, facilitators, equipment, venue management, and related support services.

Quotation or Quote

A formal proposal issued by Trebound detailing the customized itinerary, inclusions, exclusions, number of participants, pricing, payment schedule, cancellation policy, and terms specific to Your Booking. Once payment (full or partial as specified) is made, the Quotation along with these T&C constitutes the final binding contract.

Platform

Trebound's website (www.trebound.com), mobile applications, social media channels, partner portals, and any other affiliated digital platforms used for information, promotion, booking, or customer support.

Supplier or Partner

Any third-party entity including resort partners, activity providers, transportation companies, equipment suppliers, or facilitators engaged by Trebound to deliver specific components of the Services.

Force Majeure

Unforeseen events beyond Trebound's reasonable control, including but not limited to natural disasters, pandemics, epidemics, government restrictions, political unrest, strikes, severe weather conditions, acts of terrorism, war, or any other circumstances that prevent or significantly impair service delivery.

APPLICATION & SCOPE

These Terms and Conditions apply to:

  • All users accessing or browsing the Trebound Platform
  • All bookings made for team building activities, experiences, or corporate outings
  • Complete customized packages including stays, activities, transportation, and facilitators
  • Individual or standalone services booked through Trebound
  • Any interactions, communications, or transactions between You and Trebound

LEGAL CAPACITY & AGREEMENT

Age and Competency

You confirm that You are at least 18 years of age and have the legal capacity to enter into binding contracts under Indian law. If You are booking on behalf of a company or organization, You warrant that You have the authority to bind that entity to these Terms.

Booking on Behalf of Others

If You make a Booking on behalf of other participants, You accept full responsibility for:

  • Ensuring that all participants comply with these Terms and Conditions
  • Communicating all relevant information, requirements, and policies to all participants
  • Obtaining necessary consents from participants for photography, medical information sharing, and emergency contacts
  • Payment of all amounts due under the Booking
  • Any damages or additional costs incurred by participants

Binding Nature of Quotation

The final Quotation issued by Trebound and confirmed through payment constitutes the definitive contract. Any prior verbal discussions, emails, WhatsApp communications, website content, or marketing materials are superseded by the final Quotation. Only services explicitly listed in the confirmed Quotation will be provided.

Consumer Protection Compliance

These Terms comply with the Consumer Protection Act, 2019 and the Consumer Protection (E-Commerce) Rules, 2020. Trebound recognizes your rights as a consumer under Indian law, including the right to fair treatment, transparent pricing, and effective grievance redressal.

ROLE OF TREBOUND

Principal Service Provider

Trebound acts as the principal service provider and tour operator for team building experiences and corporate outings. While Trebound partners with 650+ resort partners across 82+ destinations in India, we assume overall responsibility for itinerary design, supplier coordination, quality control, and end-to-end delivery of Services.

Our Responsibilities Include:

  • Customized itinerary planning and activity design
  • Selection, vetting, and coordination of partner venues and suppliers
  • Providing experienced facilitators and instructors
  • Operational oversight and quality assurance
  • On-ground support and issue resolution
  • Customer support before, during, and after events
  • Ensuring compliance with safety standards and regulations

While individual service components (such as accommodation, meals, or transportation) are delivered by our partner suppliers under Trebound's coordination, Trebound maintains operational control and accountability for the overall experience.

BOOKING PROCESS

Inquiry and Quotation

Upon receiving Your inquiry through our Platform, email, phone, or WhatsApp, Trebound will provide a customized Quotation based on Your requirements including participant count, destination preferences, activity types, budget, and dates. All quotations are valid for 7 days from the date of issue unless otherwise specified.

Booking Confirmation

A Booking is confirmed only upon receipt of the advance payment (deposit) as specified in the Quotation. Trebound will send a booking confirmation voucher via email within 24-48 hours once payment is received and processed. The confirmation voucher will include:

  • Booking reference number
  • Event date and duration
  • Destination and venue details
  • Number of participants
  • Inclusions and exclusions
  • Payment schedule and balance due
  • Cancellation policy applicable to your booking
  • Emergency contact information

Accuracy of Information

You are responsible for providing accurate and complete information including:

  • Participant names and contact details
  • Dietary requirements and food allergies
  • Medical conditions, disabilities, or health concerns
  • Emergency contact information for all participants
  • Special needs or accessibility requirements
  • Age restrictions or minors participating (if applicable)

Errors or omissions in provided information may result in service denial, additional charges, or inability to accommodate specific requirements. Trebound is not liable for issues arising from incorrect or incomplete information provided by the Client.

Changes to Booking

Requests to modify booking details (dates, participant count, destination, activities) must be submitted in writing to contact@trebound.com at least 15 days before the event date. Changes are subject to availability and may incur additional charges. Major changes may be treated as cancellation and rebooking, subject to applicable cancellation fees.

PAYMENT TERMS

Payment Schedule

Unless otherwise specified in Your Quotation, the standard payment schedule is:

  • Advance Payment (Deposit): 50-60% of total cost payable upon booking confirmation
  • Balance Payment: Remaining 40-50% payable 7-14 days before the event date
  • Last-Minute Bookings: For bookings made within 30 days of the event date, full payment may be required immediately

Payment Methods

Payments can be made through:

  • Bank transfer (NEFT/RTGS/IMPS) - preferred method
  • Credit/Debit cards through secure PCI-DSS compliant payment gateways
  • UPI (Unified Payments Interface)
  • Company cheque (for corporate bookings, subject to clearance - allow 5-7 business days)

All online payments are processed through secure, encrypted channels. Trebound does not store your complete credit card or banking information. Please refer to our Privacy Policy for details on payment data protection.

Late Payment

Failure to make payment by the specified deadlines may result in:

  • Automatic cancellation of Your Booking with applicable cancellation charges
  • Loss of reserved dates, venues, and services
  • Additional charges if rebooking is required
  • Refusal of service if full payment is not received before the event date

We will send payment reminders via email and SMS 14 days, 7 days, and 3 days before the balance payment deadline.

Taxes and Additional Charges

All prices quoted include applicable GST (Goods and Services Tax) at the prevailing rate unless otherwise stated. Any additional charges are payable directly by the Client:

  • Resort security deposits (refundable subject to venue inspection)
  • Extra meals, beverages, or room service beyond package inclusions
  • Personal expenses (laundry, telephone calls, minibar, spa services)
  • Damages caused by participants to venue property or equipment
  • Optional activities or upgrades not included in the original quotation
  • Entry fees for monuments, parks, or attractions (if not specified as included)

TCS (Tax Collected at Source)

As per Section 206C(1G) of the Income Tax Act, 1961, TCS may be applicable on tour packages exceeding the prescribed threshold. TCS certificates will be issued within 45 days after the end of each financial quarter. GST invoices will be provided upon request within 7 business days after event completion.

Price Changes

Prices quoted in the Quotation are fixed and will not change after booking confirmation and deposit payment, except in the following circumstances:

  • Changes in GST rates mandated by the government
  • Client-requested changes to participant count, dates, or itinerary
  • Additional services requested after booking confirmation
  • Force Majeure events that significantly impact supplier costs

Any price increases will be communicated to You in writing with justification at least 15 days before the event date.

CANCELLATION & REFUND POLICY

Cancellation by Client

Cancellation requests must be submitted in writing to contact@trebound.com. The following cancellation charges apply from the date of receipt of written cancellation notice, unless a different policy is specified in Your Quotation:

  • More than 30 days before event: 25% cancellation fee
  • 15-30 days before event: 50% cancellation fee
  • 7-14 days before event: 75% cancellation fee
  • Less than 7 days before event or no-show: 100% cancellation fee (no refund)

Refund Processing

Refunds (after deducting applicable cancellation fees) will be processed as follows:

  • Bank Transfer/UPI: 7-10 business days from cancellation approval
  • Credit/Debit Card: 10-15 business days (subject to bank processing times)
  • Company Cheque: Refund via bank transfer within 15 business days

Refunds will be credited to the original payment method or bank account as per your written request. TCS collected (if applicable) is not refundable but can be claimed as credit in your Income Tax Return.

Right to Access

You have the right to request access to the personal information we hold about you. We will provide you with a copy of your data in a commonly used electronic format upon verified request.

Partial Cancellations

If You wish to reduce the number of participants after booking confirmation:

  • Reduction of up to 10% of total participants: No penalty, pricing adjusted proportionately
  • Reduction of 10-25% of participants: 20% penalty on reduced participant cost
  • Reduction of more than 25% of participants: Standard cancellation policy applies to reduced portion
  • Participant reduction within 7 days of event: No refund or adjustment

Note: Some venues and activities have minimum participant requirements. If your reduced count falls below minimum, additional charges may apply or venue changes may be necessary.

Cancellation by Trebound

Trebound reserves the right to cancel Your Booking under the following circumstances:

  • Failure to make balance payment by the specified deadline
  • Force Majeure events that prevent service delivery
  • Government restrictions, prohibitory orders, or venue closures
  • Safety concerns that cannot be adequately mitigated
  • Participant count falls below venue minimum requirements and Client declines alternatives
  • Breach of Terms and Conditions by the Client

In case of cancellation by Trebound (except due to Client breach or payment failure), we will offer:

Option 1: Reschedule to an alternative date within 12 months at no additional cost

Option 2: Alternative comparable venue or experience (subject to availability)

Option 3: Full refund of all amounts paid, processed within 15 business days

Rescheduling

Requests to reschedule Your Booking to a different date:

  • More than 45 days before event: One free rescheduling, subject to availability
  • 30-45 days before event: 10% rescheduling fee
  • 15-30 days before event: 25% rescheduling fee
  • Less than 15 days before event: Treated as cancellation with standard cancellation charges

Rescheduled dates must be within 12 months of the original booking date. Price differences between seasons may apply. Rescheduling is subject to venue and facilitator availability.

PARTICIPANT CONDUCT & RESPONSIBILITIES

Expected Conduct

All participants must:

  • Follow instructions from Trebound facilitators and venue staff
  • Respect venue property, equipment, and facilities
  • Comply with venue rules, regulations, and timings
  • Treat other participants, staff, and local communities with respect
  • Refrain from behavior that is offensive, discriminatory, or disruptive
  • Use safety equipment as instructed during activities
  • Report any safety concerns or incidents immediately to facilitators
  • Arrive punctually for scheduled activities and transport

Prohibited Activities

Participants are strictly prohibited from:

  • Consumption of illegal substances or excessive alcohol
  • Smoking in non-designated areas
  • Harassment, bullying, or intimidation of any kind
  • Damage to property, equipment, or natural environment
  • Carrying weapons, firearms, or dangerous items
  • Violating local laws, customs, or regulations
  • Unauthorized modifications to scheduled activities or itinerary
  • Engaging in activities without supervision when required

Consequences of Misconduct

Trebound reserves the right to take the following actions for serious misconduct:

  • Immediate removal of participant from activity or venue
  • Termination of Services without refund
  • Recovery of costs for damages, medical emergencies, or additional expenses
  • Reporting to local authorities if illegal activities are involved
  • Banning from future Trebound services

Health and Medical Requirements

Participants must:

  • Disclose any medical conditions, allergies, or disabilities that may affect participation
  • Bring necessary medications and medical equipment
  • Obtain medical clearance for adventure activities if required
  • Inform facilitators of any health issues during the event
  • Sign medical consent and waiver forms as required
  • Carry valid health insurance (strongly recommended)

Trebound is not responsible for medical emergencies or health issues arising from undisclosed conditions or failure to take prescribed medications.

Photography and Media Consent

By participating in Trebound activities:

  • You consent to being photographed and filmed during activities
  • You grant Trebound permission to use photos/videos for marketing purposes
  • You may request exclusion from marketing materials by notifying us in writing
  • Images may appear on website, social media, brochures, and promotional materials
  • No compensation will be provided for use of your image or likeness

SAFETY, RISK & LIABILITY

Safety Measures

Trebound implements comprehensive safety measures including:

  • Trained and certified facilitators for adventure activities
  • Regular inspection and maintenance of equipment
  • Safety briefings before all activities
  • Provision of safety equipment (helmets, harnesses, life jackets, etc.)
  • First aid trained staff and medical kits on-site
  • Emergency evacuation procedures
  • Coordination with local medical facilities
  • Weather monitoring and activity modifications as needed

Assumption of Risk

Participants acknowledge that:

  • Team building and adventure activities involve inherent risks
  • Injuries may occur despite safety precautions
  • Participation is voluntary and at participant's own risk
  • They are physically and mentally fit for chosen activities
  • They will follow all safety instructions and guidelines

Limitation of Liability

To the maximum extent permitted by law, Trebound's total liability for any claim arising from or related to the Services is limited to the amount paid by the Client for the affected Booking. This limitation applies regardless of the legal theory (contract, tort, negligence, strict liability, or otherwise).

Trebound is NOT liable for:

  • Personal injury, illness, or death arising from participant's pre-existing conditions
  • Injuries resulting from participant's failure to follow instructions
  • Accidents or incidents beyond our reasonable control
  • Loss, theft, or damage to personal belongings
  • Delays, changes, or cancellations due to Force Majeure events
  • Actions or omissions of third-party suppliers
  • Consequential, indirect, incidental, or punitive damages
  • Loss of business, profits, or opportunities
  • Emotional distress or disappointment
  • Additional accommodation or travel expenses
  • Weather-related cancellations or modifications

Indemnification

You agree to indemnify, defend, and hold harmless Trebound, its affiliates, employees, agents, and partners from any claims, damages, losses, liabilities, and expenses (including legal fees) arising from:

  • Your breach of these Terms and Conditions
  • Your violation of any law or rights of third parties
  • Your misconduct or negligent behavior
  • Damage caused to venue property or equipment
  • Injuries or harm caused to other participants or third parties due to your actions

Weather and Natural Events

Certain outdoor activities are weather-dependent. In case of adverse weather conditions (heavy rain, storms, extreme heat, fog, or other dangerous conditions):

  • Trebound reserves the right to modify, postpone, or substitute activities
  • Decisions made by facilitators regarding safety are final and binding
  • Alternative indoor activities will be provided where possible
  • No refunds or compensation for weather-related modifications
  • Rescheduling options may be offered for severe weather events

FORCE MAJEURE

Neither party shall be liable for failure to perform obligations due to Force Majeure events including but not limited to:

  • Natural disasters (earthquakes, floods, landslides, cyclones)
  • Pandemics, epidemics, or public health emergencies
  • Government restrictions, lockdowns, travel bans, or prohibitory orders
  • Acts of terrorism, war, civil unrest, or political instability
  • Strikes, labor disruptions, or transportation failures
  • Severe and unprecedented weather conditions
  • Fire, explosion, or infrastructure damage
  • Failure of utilities, telecommunications, or internet services
  • Any other event beyond reasonable control

In case of Force Majeure, Trebound will:

Option 1: Work with You to reschedule the event to a mutually convenient date within 12 months with no additional charges (subject to availability)

Option 2: Provide credit voucher for the full amount paid, valid for 18 months, usable for any Trebound services

Option 3: If rescheduling is not feasible, refund the amount paid after deducting any non-recoverable costs already incurred (vendor advance payments, non-refundable deposits)

The party affected by Force Majeure must notify the other party within 48 hours and provide reasonable evidence of the event. We will work in good faith to minimize disruption and find mutually acceptable solutions.

INSURANCE

Public Liability Insurance

Trebound maintains public liability insurance coverage to protect against claims arising from activities conducted under our supervision. This coverage is subject to policy terms, conditions, and exclusions as per the insurance provider.

Client Travel Insurance

Clients and participants are strongly encouraged to purchase comprehensive travel insurance covering:

  • Trip cancellation and interruption
  • Medical emergencies and evacuation
  • Personal accident and death
  • Baggage loss and personal belongings
  • Adventure sports and activities (if participating)

Trebound is not responsible for costs that could have been covered by appropriate insurance. We can recommend insurance providers upon request.

INTELLECTUAL PROPERTY

Trebound Content

All content on the Platform including logos, trademarks, brand names, text, images, graphics, designs, activity concepts, methodologies, training materials, and software is the exclusive property of Trebound or licensed to us. You may not:

  • Reproduce, distribute, or republish any content without express written permission
  • Modify, adapt, or create derivative works
  • Use Trebound's trademarks or branding without authorization
  • Copy activity designs or methodologies for commercial purposes
  • Reverse engineer or extract proprietary information

User-Generated Content

By submitting reviews, testimonials, photos, videos, or other content to Trebound, You:

  • Grant us an irrevocable, royalty-free, worldwide, perpetual license to use, reproduce, modify, and display such content
  • Warrant that You have necessary rights and permissions to grant this license
  • Confirm that the content does not infringe on third-party rights
  • Authorize use for marketing, promotional, and operational purposes
  • Waive any moral rights or attribution claims

We reserve the right to refuse, edit, or remove any user-generated content at our discretion.

DATA PRIVACY & PROTECTION

Your privacy is important to us. Collection, use, storage, and protection of personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference and available at www.trebound.com/privacy-policy.

By using our Services, You consent to:

  • Our data practices as described in the Privacy Policy
  • Sharing of information with partner suppliers and venues as necessary for service delivery
  • Processing of data in accordance with the Digital Personal Data Protection Act, 2023
  • Use of data for service improvement and quality assurance
  • Marketing communications (which You can opt out of at any time)

You have rights regarding your personal data including access, correction, deletion, and data portability. To exercise these rights or for any privacy concerns, contact our Data Protection Officer at privacy@trebound.com.

COMPLAINTS & DISPUTE RESOLUTION

Complaint Procedure

Any complaints regarding Services must be reported:

  • Immediately: To our on-ground representatives during the event for real-time resolution
  • Post-Event: In writing to contact@trebound.com within 5 days of event completion
  • Include: Booking reference, detailed description, supporting evidence (photos, videos, witness statements)

Resolution Process

Upon receiving a complaint, Trebound will:

  • Acknowledge receipt within 48 hours
  • Investigate the matter thoroughly within 15 working days
  • Provide a written response with findings and proposed resolution
  • Implement agreed upon solution or refund as per policy
  • Follow up to ensure satisfaction

Deadline for Claims

Refund requests, service quality complaints, or any claims for compensation must be submitted within 5 days of trip completion. Requests submitted after this deadline will not be entertained except in cases of:

  • Serious injury or medical emergency
  • Fraud or gross negligence
  • Issues discovered post-event through documentation review

Alternative Dispute Resolution

If a complaint cannot be resolved through our internal process, parties agree to attempt resolution through:

  • Step 1: Good faith negotiation between senior management representatives
  • Step 2: Mediation through a mutually agreed upon mediator
  • Step 3: Online Dispute Resolution (ODR) as per Consumer Protection (E-Commerce) Rules, 2020
  • Step 4: Arbitration as per Section 16 below

Consumer Rights

As a consumer under the Consumer Protection Act, 2019, You have the right to:

  • File a complaint with the District, State, or National Consumer Disputes Redressal Commission
  • Seek compensation for deficiency in services
  • Access grievance redressal mechanisms
  • File complaints online through the National Consumer Helpline or e-Daakhil portal

GOVERNING LAW & JURISDICTION

These Terms and Conditions are governed by and construed in accordance with the laws of India, including but not limited to:

Our DPDPA Commitments:

  • The Indian Contract Act, 1872
  • The Consumer Protection Act, 2019
  • The Information Technology Act, 2000
  • The Digital Personal Data Protection Act, 2023
  • The Goods and Services Tax Act, 2017

Any disputes, controversies, or claims arising from or relating to these Terms or Your Booking shall be subject to the exclusive jurisdiction of the courts in Bengaluru, Karnataka, India.

ARBITRATION

In the event of any dispute, controversy, or claim arising out of or relating to these Terms that cannot be resolved through the procedures in Section 14:

  • The dispute shall be referred to and finally resolved by arbitration under the Arbitration and Conciliation Act, 1996
  • The arbitration shall be conducted by a sole arbitrator mutually appointed by both parties
  • If parties cannot agree on an arbitrator within 30 days, the arbitrator shall be appointed by the Bengaluru Chapter of the Indian Council of Arbitration
  • The seat and venue of arbitration shall be Bengaluru, Karnataka, India
  • The language of arbitration shall be English
  • The arbitrator's decision shall be final and binding on both parties
  • Each party shall bear their own costs unless the arbitrator determines otherwise

This arbitration clause does not affect Your rights as a consumer under the Consumer Protection Act, 2019 to approach consumer forums.

GENERAL PROVISIONS

Severability

If any provision of these Terms is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, such provision shall be severed, and the remaining provisions shall continue in full force and effect to the maximum extent permitted by law.

Waiver

Failure by Trebound to enforce any right or provision of these Terms shall not constitute a waiver of such right or provision unless acknowledged and agreed to in writing. No waiver of any breach shall be deemed a waiver of any subsequent breach.

Entire Agreement

These Terms and Conditions, together with:

  • The final Quotation
  • Booking confirmation voucher
  • Privacy Policy
  • Any specific waivers or consent forms

constitute the entire agreement between You and Trebound, superseding all prior communications, proposals, negotiations, or understandings, whether oral or written.

Assignment

You may not assign, transfer, or delegate Your rights or obligations under these Terms without Trebound's prior written consent. Any attempted assignment without consent shall be void. Trebound may assign these Terms in connection with a merger, acquisition, reorganization, or sale of substantially all assets.

Amendments

Trebound reserves the right to modify these Terms and Conditions at any time. Updated Terms will be posted on our Platform at www.trebound.com/terms-and-conditions with a revised 'Last Updated' date. Continued use of our Services after changes constitutes acceptance of modified Terms.

For existing Bookings: The Terms in effect at the time of booking shall apply. Material changes affecting existing bookings will be communicated directly via email.

All notices, requests, and communications under these Terms must be in writing and sent to:

Notices sent by email are deemed received within 24 hours. Notices sent by registered post are deemed received within 5 business days.

Survival

The following provisions shall survive termination or expiration of these Terms: Intellectual Property (Section 12), Data Privacy (Section 13), Limitation of Liability (Section 9), Indemnification (Section 9.4), Governing Law (Section 15), and Arbitration (Section 16).

By (1) creating an account on the Trebound Platform, (2) making any Booking, (3) accepting a Quotation, (4) making payment, or (5) using our Services, You acknowledge that You have:

  • Read and understood these Terms and Conditions in their entirety
